Job Title: Executive Assistant

Job Summary:
American Global Strategies (AGS) is a boutique strategic advisory firm working with clients in sectors such as defense, aerospace, maritime, technology, finance, and private equity.
We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive administrative support and strategic assistance. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate will be proactive, resourceful, and capable of managing multiple priorities in a fast-paced environment. A willingness to perform tasks outside of the job description, as well as provide support on personal tasks, is essential.
Key Responsibilities:
· Calendar & Schedule Management: Coordinate and manage the daily schedule, including meetings, appointments, and travel arrangements.
· Communication & Correspondence: Serve as a primary point of contact for internal and external stakeholders, managing emails, phone calls, and written correspondence.
· Meeting Preparation & Follow-up: Prepare agendas for meetings; take notes and follow up on action items.
· Project Management: Assist in managing key projects, tracking deadlines, and ensuring timely execution.
· Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism and confidentiality.
· Travel Coordination: Arrange domestic and international travel, accommodations, and itineraries.
· Office & Vendor Management: Liaise with vendors, manage office supplies, and oversee administrative tasks as needed.
· Personal Assistance: Provide support on personal tasks, including scheduling personal appointments and travel.
· Expense Reports: Prepare, track, and manage expense reports, ensuring timely submission and compliance with company policies.
Qualifications and Experience:
· Bachelor's degree
· Preference for previous experience as an Executive Assistant, preferably supporting C-suite executives.
· Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
· Exceptional communication skills (written and verbal).
· High level of professionalism, integrity, and discretion.
· Strong problem-solving abilities and the ability to work independently.
· Ability to multitask, prioritize, and manage time effectively.
· Experience with travel planning and expense reporting.
